Terms of Use

1. Definitions

"Service" means the Final Solution ERP system and all of its modules made available over the internet. "Provider" means AlSafwa AlArabiya Establishment For IT Systems. "Customer" means the business that has opened an account on the Service. "Customer Data" means everything the Customer or its users enter into the Service.

2. Scope of the Service

The Service is provided as an internet subscription (SaaS). The Customer does not receive a copy of the software or a perpetual licence, but a right to use the Service for the duration of a valid subscription.

Modules currently available: accounting, inventory, sales, purchasing, payments and expenses, core reports, and e-invoicing. Any module not listed here is not available, and no earlier marketing material stating otherwise may be relied upon.

3. Account and registration

The Customer undertakes to provide accurate details on registration and to keep its credentials confidential. All activity carried out through the Customer's account is deemed to originate from the Customer, who must notify the Provider immediately of any suspected unauthorised use.

The business's VAT number is embedded in electronically signed invoices and in the QR code. Responsibility for the accuracy of that number rests solely with the Customer, and correcting it after invoices have been issued may require re-registering the invoicing device with the Authority.

4. Free trial

A free trial of 14 days is available with no payment details required. When it ends, access to the Service is blocked. Customer Data is not deleted because a trial ended; it is retained for the period stated in clause 9.

5. Subscription, payment and renewal

Prices shown on the pricing page exclude VAT unless stated otherwise; VAT is added at the applicable statutory rate.

The only payment method currently available is bank transfer. A subscription is activated or renewed after the Provider has reviewed the transfer. There is no online payment and no automatic renewal, and the Provider holds no card details of any kind.

Renewal is not automatic. The Provider contacts the Customer before the period ends, and the account remains active until the end of the paid period.

Refund policy: amounts paid for a subscription period that has started are not refunded; renewal can be cancelled at any time before it is due.

6. Suspension

The Provider may suspend access in two cases: a subscription that has ended without renewal, or use that breaches clause 7. In both cases access is blocked without deletion of data, and is restored as soon as the cause is resolved.

7. Customer obligations

  • Not to use the Service for any purpose contrary to the laws of the Kingdom of Saudi Arabia.
  • Not to attempt to reach another customer's data, probe the technical isolation, or conduct penetration testing without prior written permission.
  • Not to use the Service in a way that harms its stability or consumes resources unreasonably.
  • To stay within the published limits of its plan (users, branches, warehouses, invoices and attachment storage).

8. Ownership of Customer Data

Customer Data belongs to the Customer alone. The Provider claims no ownership over it and uses it for no purpose other than operating the Service and supporting that same Customer.

The Customer is entitled to obtain a copy of its data in a machine-readable format on request, within a reasonable period, during the subscription or within the retention period that follows it.

9. Data retention and deletion

Customer Data is kept for the duration of the subscription and for 90 days after it ends or is suspended. After that period the Provider may delete the data permanently, having notified the Customer at its registered email address.

Note that certain accounting and tax records are subject to mandatory statutory retention periods; the obligation to retain those rests with the Customer, not the Provider.

10. E-invoicing

The Service generates, signs and submits invoices to the Zakat, Tax and Customs Authority. The Customer acknowledges that:

  • Submission uses the Customer's own device credentials and certificate as registered with the Authority.
  • Responsibility for the accuracy of issued data (VAT numbers, tax categories, buyer details) rests with the Customer.
  • The Provider exercises reasonable care in keeping pace with the Authority's requirements but does not guarantee acceptance of any particular document.

11. Availability and support

The Provider makes reasonable efforts to keep the Service continuously available, excluding planned maintenance and failures outside its control. There is no contracted availability commitment (SLA) at this time.

Published support hours: Sunday to Thursday, 9 am to 5 pm Riyadh time. Support channels are listed on the Contact page.

12. Limitation of liability

The Service is provided "as is". The Provider is not liable for indirect or consequential damages, including loss of profit or lost opportunity. In all cases the Provider's total liability shall not exceed the amount actually paid by the Customer during the twelve months preceding the event.

Nothing in this clause limits any liability that the law does not permit to be limited.

13. Changes to these terms

The Provider may amend these terms, notifying customers at their registered email address 30 days before the amendment takes effect. Continued use of the Service after that date constitutes acceptance.

14. Termination

The Customer may terminate its subscription at any time by notifying the Provider; termination takes effect at the end of the current paid period. The Provider may terminate on a material breach of clause 7 that is not remedied within a reasonable period after notice.

15. Governing law

These terms are governed by the laws of the Kingdom of Saudi Arabia, and the competent courts in Riyadh shall have jurisdiction over any dispute arising from them.
